Delivering national events at scale: The logistics behind a 292,000-fan rugby event

When brands invest in national events, success depends on more than visibility alone. It requires a logistics partner with the infrastructure, systems, specialist expertise, and operational discipline to manage every aspect of execution, from warehousing and transportation to maintenance, deployment, and asset recovery.
Delivering national events at scale: The logistics behind a 292,000-fan rugby event

For Pop Warehouse, a division of Provantage, last year’s SAB Rugby Championship event is a powerful case study in how end-to-end logistics capability can make or break a national campaign at scale.

Spanning six matches across multiple stadiums and attracting more than 292,000 fans, the event required the precise management and movement of branded infrastructure across South Africa. Pop Warehouse was responsible for overseeing the full lifecycle of these assets, from storage and inventory management to transportation, installation, maintenance, breakdown and recovery.

"Clients often focus on what happens on event day, but the real work starts long before that and continues long after. At the heart of what we do is the ability to take complexity and make it simple for the client. Large-scale events are unforgiving environments, and there is no room for delay, inconsistency or breakdown in execution. Our model is built to eliminate those risks," says Arno Rossouw, general manager: logistics at POP Warehouse.

Stadium capacity ranged from 42,000 to 55,000 attendees, placing significant pressure on turnaround times, operational consistency and venue coordination. Across the campaign, Pop Warehouse managed and deployed large-scale branded assets including umbrellas and bases, gazebos, bar counters, bar wraps and fence wraps, ensuring a consistent SAB brand experience at every venue.

Throughout the series of matches, Pop Warehouse managed the cleaning, maintenance, repair, storage and quality control of all branded infrastructure, ensuring every asset arrived at each venue in optimal condition and ready for immediate use.

In total, the team covered 6,900km during the event. Operations were supported by a hybrid logistics model comprising a core travelling team of specialists working alongside regional crews at each venue. A dedicated 14-ton truck formed the backbone of the transport operation, enabling the controlled movement of assets between locations throughout the series of matches

"At each venue, we followed a strict operational rhythm of load-out, transport, on-site setup, stakeholder coordination, live event support, breakdown and redeployment to the next destination. This repeatable formula helped us maintain consistency across multiple activations without compromising speed or quality," says Eugene Raganathan, national operations manager at Pop Warehouse.

According to Pop Warehouse, the success of national events lies not only in execution on the day, but in the systems, processes and logistics infrastructure that support every stage of the campaign lifecycle.

What sets the business apart is its ability to manage the complete lifecycle of event and promotional assets at scale. From warehousing and inventory management to transportation, installation, maintenance, refurbishment and redeployment, Pop Warehouse provides brands with a single partner capable of delivering seamless execution across multiple locations simultaneously.

This integrated approach gives clients complete visibility and accountability while reducing the complexity of managing multiple suppliers. It also ensures branded assets are utilised efficiently, maintained correctly and consistently deployed to the highest standards.

Founded in 1998, Pop Warehouse is the only Level 1 B-BBEE point-of-purchase warehousing management company in South Africa. The business has built its reputation on operational consistency, accountability and long-term client partnerships.

Its operational philosophy, 'walls, wheels, hands', reflects the full spectrum of its service offering. From warehousing and storage to transportation, installation and on-the-ground execution, every aspect of the business is designed to support efficient asset management and flawless campaign delivery.

The model is further strengthened by a focus on asset maintenance, cleaning, repairs, refurbishment and quality control, helping clients maximise the lifespan and value of their promotional infrastructure. With more than half a million unique stock-keeping units managed across its operations, barcode-driven tracking systems provide complete visibility and control across inventory movements.

In addition, Pop Warehouse has developed internal systems that enable clients to view live event schedules and bookings in real time, improving planning, coordination and transparency across multi-site campaigns.

This technology-driven approach ensures even the most complex logistics chains remain traceable, accountable and efficient from start to finish.

The company also maintains a strong commitment to transformation, with a diverse and inclusive workforce forming a key part of its innovation strategy. Pop Warehouse believes that diverse perspectives drive stronger problem solving, better execution and improved outcomes for clients.

As brands continue to invest in increasingly ambitious events and activations, the ability to manage assets efficiently across multiple locations is becoming a critical competitive advantage. Success depends not only on creative concepts, but on the logistics expertise required to bring them to life consistently and at scale.

The SAB Rugby Championship demonstrates what is possible when warehousing, transportation, asset management, maintenance and on-the-ground execution come together within a single integrated operating model. For Pop Warehouse, it is a clear example of how end-to-end logistics capability helps brands deliver memorable experiences while removing complexity behind the scenes.
