Job description
About the RoleWe are looking for a highly capable, experienced Executive Assistant with strong project management skills and a solid understanding of marketing environments to support a fast-paced, high-performing executive.
This is not a junior administrative role.
The ideal candidate is confident, detail-oriented, action-driven, and able to independently manage priorities, follow through on commitments, and “pick up the pieces” without needing constant direction.
You must be comfortable working with a direct, to-the-point executive who values efficiency over handholding and affirmation.
Key Responsibilities
Executive Support
- Manage and prioritise a complex calendar, including leadership-level meetings
- Schedule and coordinate meetings with senior stakeholders
- Draft, edit and send executive-level emails
- Prepare high-quality PowerPoint presentations
- Manage follow-ups and ensure commitments are tracked and completed
- Anticipate needs and proactively resolve issues before they escalate
Project Management
- Track projects, deliverables and deadlines across multiple workstreams
- Ensure accountability across teams
- Drive execution and keep momentum on key initiatives
- Maintain accurate tracking documents and dashboards (Excel-heavy)
Marketing and Commercial Awareness
- Understand marketing timelines, campaigns and deliverables
- Strong understanding of how to structure marketing briefs for internal studio execution
- Assist in coordinating marketing projects and campaigns where necessary
- Review marketing materials with a strong attention to detail
- Support preparation of marketing presentations and strategic documents
Operational Excellence
- Create and manage Excel trackers and reporting sheets
- Consolidate information quickly and accurately
- Ensure high attention to detail across all outputs
- Bring structure and clarity where there is complexity
Experience Required
- Years of experience in a similar or same role is required
- Strong project management experience (formal qualification is a plus but not required)
- Advanced Excel skills (non-negotiable)
- Strong PowerPoint skills (non-negotiable)
- Experience drafting executive-level communication
- Experience coordinating at leadership / board level
Non-Negotiables
- Based in Cape Town (office presence required) - do not apply if you are not able to get to Wynberg, Cape Town
- Extremely strong attention to detail
- Confident, capable, and self-sufficient
- Action-oriented and proactive
- Comfortable working with a direct communication style
- High work ethic
Some occasional after-hours work may be required, but strong performance and organisation should minimise this.
