Assistant Shipping Controller

Job description

• Verify shipping documents for accuracy and ensure alignment with purchase orders and proformas.
• Create and maintain physical and electronic shipping files.
• Capture shipping information on ShipShape and spreadsheets.
• Prepare documentation for switch bills, commercial invoices and packing lists.
• Track original bills sent by courier and follow up on outstanding shipping documentation and telex releases.
• Monitor shipments daily and request arrival notices and invoices from shipping lines.
• Prepare delivery instructions and shipping line instructions.
• Ensure Navis is assigned to transporters and monitor the timely return of empty containers within the applicable free time.
• Submit shipping documentation to banks in support of foreign payments.
• Check, reference and reconcile month-end invoices and statements before submitting them for payment.
• Maintain accurate filing systems and provide general shipping administrative support.

Requirements

• Resides in DBN or surrounds
• Reliable transport to/from the workplace
• Fully office bound: Mon to Fri from 07h15-16h30
• Grade 12 (matric).
• A tertiary qualification in supply chain management, logistics, business administration or international trade will be an added advantage.
• At least 5 years experience in a fast-paced freight forwarding, warehousing, distribution or manufacturing environment.
• Strong Microsoft Excel and reporting skills.
• Excellent administrative, organisational and document control abilities.
• Exceptional attention to detail and accuracy.
• Strong communication and follow-up skills.
• Ability to work under pressure and meet strict deadlines.
