• Ensuring a smooth administrative function is met for the organisation.
• Entering all bookings/loads into booking register
• Ensuring that statements and Invoices for all jobs/loads are done and sent to clients in a timeous manner, on or before deadline dates.
• Implementing proper filing systems and keeping updated at all times.
• Ensuring Pastel Accounting Package, customer details, petty cash entries, invoicing are up to date at all times.
• Making sure clients' needs are met at all times.
• Making sure all "Proof of Delivery" (POD's) documents are signed, correct and sent to clients timeously.
• Making sure that the business administrative function operates in a smooth and efficient manner at all times.
• Attending to instructions and/or requests given by Management immediately and efficiently.
• Visiting existing and/or potential new clients.
• Conducting staff meetings.
• Co-ordinating and preparing for yearend functions for staff/clients
• Invoicing of all loads or work done.
• Ensuring emails are read and dealt with efficiently every day.
• Dealing with customers' admin requests efficiently.
• Making sure that all Proof of Delivery documents are received timeously and are completed correctly.
• Entering all jobs into the company load register book and on Quote Ref excel doc.
• Filing of completed invoices and POD's
• Replenishing of office sundries and managing staff welfare.
• Compilation of all documents for the accountant.
• Making sure all Invoices, POD's and Statements are ready for delivering to customers before their respective deadlines.
• Keeping a record of all employee's annual, sick and family responsibility leave forms and updating accordingly for management.
• Implementing new and efficient systems to ensure my role is carried out appropriately, subject to management approval.
• Providing monthly report of sales figures and values per customer.
• Debtors and creditors follow ups and reports.
• Maintaining a list of all customer data on Excel.
• Updating payment list (payments to service providers) for management every month.
• Updating debtors list (Customers that owe the company money) for management.
• Ensuring all deductions and salary's for all staff are updated and sent to management.
• Monthly submissions of D form online - as well as updating leave days and bonus for Bargaining Council for the drivers.
• Monthly submissions of Old Mutual Pension Fund for drivers online.
• Assisting the Logistics Manager with rates or admin related issues.
• Addressing any customer queries to ensure customer satisfaction.
• Management and distribution of funds to staff and payment of salaries and supplier payments.
• Making sure petty cash is balanced daily.
• Keep records of all incoming and outgoing cash efficiently.
• Monthly purchases and distribution of donation goods.

Assisting the Manager with day to day duties. (Paper work, visitation of clients, driving, etc)

Ensuring that the office premises is properly maintained. (Cleaner/Pool/Garden services etc)
