Secretarial support services to the manager: Receives telephone calls and forward accordingly, manage Manager's diary (electronically & manually), records engagements and compiles a realistic appointment schedule. Draft submissions, type documents for Manager and for office. Collect visitors and organise refreshments when required.
Administrative support: Operates and ensure office equipment in good order, render administrative support function in ensuring the effective flow of information and documents, render an administrative support to the directorate, ensures safekeeping of documents and ensures in line with relevant legislation and policy, responds to enquiries, draft documents as required and does filing, collects and collates information requested, ensures travelling arrangements are well co-ordinated and bookings for catering, ordering of stationery, office furniture and office equipment, prioritising issues in office and clarifies instructions and notes from Senior Manager , manage leave register, work attendance register and telephone accounts, collect pay slips, handles procurement and obtain necessary signatures.
Provides support iro meetings, workshops: Records minutes, co-ordinates logistical arrangements for meetings, workshops when required and collects and compile documents and informs manager of contents and binding of documents.
Administration of budget: collects and co-ordinates all documents relating to budget, keep records of expenditure and alerts manager to over and under spending, check and correlates reports to ensure expenditure correctly allocated.
First Aider (level 1) - Occupational Health and Safety representative:
- Assist Floor Marshals in an emergency situation.
- Promptly investigate any first aid incident within your designated area.
- Provide prompt first aid treatment in the case of injury or an emergency.
- Calm, injured persons and ensure that such persons are comfortable until medical assistance arrives or arrange for them to be taken to the nearest hospital if necessary.
- Contact the emergency team should an ambulance be required.
- Attend monthly Occupational Health and Safety committee meetings.
- Assist in absence of the secretariat in taking minutes and distribute to members.
Collating statistics and information gathering for the sub-component: Crime Prevention & Support and submit to National Department of Social Development:
- Collate monthly inputs from the 6 different Regions in terms of probation statistics which include number of children assessed, number of children diverted, number on home based supervision and number of children under 10 years in conflict with the law.
Assist sub-programmes (Crime Prevention & Support and Victim Empowerment Programme) with any administrative duties
Assist in training sub-programme Interns
