Requirements
Qualification in bookkeeping/financial administration – BCom or similar (minimum)
Creatively and constructively meet financial and operational needs
Prepare, organise and communicate reports (financial data) to non-financial staff (i.e. production teams, managers, administration staff, committees, board)
Well organised and skilled in administrative duties and transactions
Computer literate in Outlook, Word, Excel, Pastel and Chase
Minimum three years’ experience within in an Event/PR/Advertising or Production environment as a finance and administration manager or bookkeeper
Experience managing bookkeeping function for multiple operating or business units
Multitasking and operation according to the Project Managers’ requirements with self-initiative to get the deadlines of the projects timeously
Personal skills and attributes
Liaise with customers, suppliers and colleagues at all levels
Prepare and present ongoing recommendations for system and process improvements
Good attention to detail

Main roles and responsibilities:
Debtors and creditors management
Attend to internal and external client billings queries
Project control and reporting
Work closely with production teams
Cashflow planning, management and analysis
Report creation and presentation
Capturing of supplier invoices and creating purchase orders
Payments of invoices to suppliers
Loss/profit control on all projects
Billings as per client agreements
Must see the financial cycle as a tool to service clients and create a professional base for management decision-making
Agency financial systems and reporting
Develop project and management reports to assist with business management and growth
Assist with forecasting, budgeting, scenario planning and other growth orientated financial support
Manage ongoing BEE review, scoring and certification
Create and manage a consistent reliable and detailed fiscal discipline and calendar to ensure smooth and efficient financial cycles
Work with internal IT team to improve processes and business unit reporting through understanding of CRM/project management software programs Chase
Full bookkeeping function to trial balance
Daily posting of business accounts
Creditors reconciliation and payments
VAT reconciliation
General ledger postings
Write-offs and credit notes
Bank reconciliations
General administration and audit trails
Dealing with auditors
Ad hoc projects and queries
Manage:
HR contracts and administration for full-time and freelance staff
Creation of new companies as and when required
Project management systems and processes
Annual audit process
Report:
Report monthly financial data for management team, division heads and project management teams
Updating, management and reporting of financial management tools
Work with business development team on costs for bids and proposals
Work with MD and CEO to fulfill growth plans
