      Personal assistant to the director, film and advertising 

      The potential candidate will be required to perform the following duties and have the following skills:
      • Minimum five years’ experience in the film production and/or advertising sector
      • Diary Management
      • Being the first point of contact for the Executive 
      • Scheduling Meetings; Internal and External
      • Preparing Reports and PowerPoint Presentations
      • Taking minutes in meetings
      • Arranging Travel, Hotels and Transfers
      • Arranging events
      • Administration
      • Ordering office supplies
      • Answering phone calls
      • Manage and run personal errands for Executive
      • Manage relationship between suppliers and BlackFly TTL
      • Control the budget and allocate resources
      • Generate relevant Finance spreadsheets for payments and invoicing
      • Quoting and Invoicing via Sage
      • Liaise with accountant and providing necessary info for VAT, Invoices, etc.
      • Catering arrangements for meetings/breakfast and lunch meetings as well as film shoots
      • Build and develop a network of contacts and continually update. You will be required to set up and manage a CRM System
      The working environment may vary. You will be required to work on film sets in and around the country.
      • You need to be highly motivated and able to withstand pressure as this job can be very stressful.
      • Flexibility and mobility are extremely important.
      • Must be available to travel.
      • Must also be available to the executive after hours or weekend, where necessary.
      Sills required
      • Must be very resourceful 
      • Excellent attention to detail 
      • Excellent organisation and people management skills 
      • Strong command of the English language 
      • Ability to prioritise and multitask efficiently 
      • Strong communication skills 
      • Working knowledge of Word processing, Spreadsheets and other Productivity Software Tools
      • Discretion and Tact
      • MS Teams
      • Microsoft Office - Word, Excel, PowerPoint
      • Acrobat Writer
      • Sage Accounting software
