Job description

Purpose of the role:                    
To effectively manage national event/activations by ensuring that each project has been set up correctly and completely before preparing project coordinators in each region to implement.

The AM is to remain at a supervisory level throughout each project and to observe and find ways to improve the service offering to clients.

Day-to-day responsibilities:

• Manage a team working together on a client account 
• Manage client's expectations, budgets and briefs
• Present project concept and implementation plans to client
• Event/activation management from concept through to implementation
• Ensure that the agency’s actions are in line with agreements, procedures and budgets, and reflect a unified and agreed point of view
• Write contact reports and forward these to the client within 48 hours after every meeting
• Write creative briefs, timing plans, production schedules, status reports and event/activation briefs and use these to brief suppliers accordingly
• Work with suppliers to ascertain timing plans, pursue estimate approval and follow the project through from production to final implementation
• Source quotes against jobs and ensuring that they are within budget
• Onsite event management, logistics planning and supplier coordination and ensure timeous execution
• Organise and coordinate national and regional activity according to the brief; ensuring clear R&R are defined with relevant parties
• Act as a central point of communication with respect to the national activity 
• Be directly accountable for the quality of implementation and professional outputs
• Ensure prompt and meaningful evaluation (quantitative and qualitative)
• Ensure that client’s accounts are up-to-date, delivered on time and that payment is effected timeously
• Continuously provide inputs and ideas into activation development

Inherent requirements:

• Must have own vehicle
• Must be willing to travel occasionally
• Must understand the after hours requirements of this industry. Most events and activations take place outside of business operating hours
• Computer literacy: All Microsoft products, example: MS Word/Excel/PowerPoint/Outlook
• Strong Excel skills a must

Functional requirements:

• The ability to write comprehensive and insightful briefs to design team as well as event suppliers
• Excellent computer skills, specifically Excel and PowerPoint
• Confident presentation skills
• Minimum five years' events and activation experience with a proven track record
• Experience in dealing with city council approvals, events permits, liquor licences, etc. 
• Thorough understanding of production specs and processes, both manufacturing of event assets and printing
• Thorough understanding of risk analysis for health and safety requirements
• First aid or health and safety qualification beneficia
