Job description

We are looking for an HR operations coordinator who would like the opportunity to support the development of the HR function as it raises the level of contribution to people capability in a growing organisation. If you are excited by the prospect of ‘making your mark’ by building an operational centre of excellence within HR, then this role is for you.

The ideal candidate must be detail orientated and passionate about executing HR processes like induction and probation flawlessly. This is not purely an administration role; you need to be able to contribute to the development of HR processes and effectively influence and support business managers in the implementation of good HR practices.

Although you will be based at the main administrative office in Durbanville, you will from time to time be expected to travel to other branches within the greater CT area in order to carry out your duties. You will deal with a wide variety of people both at the branches and at the head office and it is important to establish good working relationships with your customers and stakeholders.

What is expected from this job?

Job deliverables and main duties:
  • Address staff queries.
  • Draft and distribute company communications.
  • Maintain HRIS – set up of workflows, updating of personnel, training and other records, maintaining the integrity of records through regular audits.
  • Use HRIS analytics to generate standard and ad-hoc reports.
  • Develop and update an annual HR calendar of events – distribute reminders to drive processes.
  • Maintain correct and comprehensive employee files.
  • Recruit junior positions - sourcing, shortlisting, interviewing, issuing contracts, coordinating assessments and background checks and maintaining recruitment records. Also, provide back-office support for senior appointments.
  • Facilitate the onboarding of new employees – coordinating all activities and training related to induction, coordinating the probation process.
  • Coordinate training – training needs analysis, planning, sourcing of providers, coordinating internal/ external training, managing quality of delivery, submission of WSP and maintaining administration and reporting.
  • Participate in the development and support of standard HR processes and operating procedures in partnership with HR Manager - providing input, developing workflows and documentation, uploading data to HRIS.
  • Interpret legislation and HR policies and provide advice and coaching to managers on the implementation of HR policies and procedures.

To be a good fit for this job you need…

Required education, certifications and work experience. Must have:
  • National diploma in human resource management or similar.
  • Driving License (Code B).
  • At a minimum, three to five years of working experience in coordinating HR processes including training.
  • This includes experience of contributing to the development of HR processes and effectively influencing and supporting business managers in the implementation of good HR practices.
  • If you can tick these you will have an advantage:
    • You will have gained your working experience in a services/hospital or clinical environment.
    • Familiar with PaySpace.


Skills, knowledge, personal qualities:
  • Computer literacy.
  • Knowledge of HR best practices and trends.
  • Understanding of labour legislation and application.
  • Knowledge of HR systems, processes and policies, including recruitment, induction, performance management, training needs analysis and plans.
  • Effective presentation skills.
  • Excellent written communication skills.
  • Able to build constructive relationships, good interpersonal skills.
  • Experience with analysing complex issues and delivering appropriate solutions.
  • Ability to influence others and resolve conflict.
  • Self-starter and able to drive projects to completion.
