Job summary
This position is an administrative level position within an HR department that acts as a shared department to three companies.

Responsibilities include, but not limited to:

Recruitment

Core staff (for all companies):
  • Full control of the recruitment cycle
  • Developing recruitment strategies
  • Reviews recruit inboxes, sorting and filing of CVs
  • Requesting applications and portfolios of architectural candidates
  • Ensures two times weekly links are sent to hiring managers
  • Coordinates the annual graduate recruitment program for FYOs and interns
  • Establish and maintain a relationship with the key players of all the relevant universities to boost company reputation to source top student/graduates
  • Liaise with the directors on graduate allocations
  • Facilitate and manage the graduate recruitment process with the interviewing committee
  • Ensure communication with candidates is prompt and professional at all stages (from the moment they apply until they are on board or turned down)
Support staff (all Companies):
  • Ensuring job description is in order with the relevant manager prior to advertising
  • Placing online adverts
  • Shortlisting of CVs for hiring managers
  • Coordinating interviews with the hiring manager
  • Reference checking prior to an interview and attending the interview with the manager
  • Maintaining and managing the recruitment database/folder
  • Ensure communication with candidates is prompt and professional at all stages (from the moment they apply until they are on board or turned down)
Offers/new hires:
  • Issue offer letters and where accepted, arrange contracts within 24 hours of acceptance
  • Provides weekly recruitment status report of all recruitment to senior HR officer/manager and FD
  • Ensure that IT and facilities are kept up to date on the new starts to ensure a smooth onboarding
Organograms:
  • Updates monthly as per directors/senior manager’s instructions and staff movements
  • Obtains sign off and publishes on the intranet
Administration:
  • Once a resignation has been acknowledged, liaise with the hiring manager for possible replacement
  • Ensure all job descriptions are kept up to date
  • Maintaining and managing the recruitment database/folder
  • Assists employees with providing employment letters, certificates of service, VISA letters and ad hoc request of HR information
  • Assist the HR Team with any ad-hoc requests as and when required


Requirements

Essential skills and criteria
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
  • Minimum five years of prior experience working as either an internal recruiter or agency recruiter
  • Must have bulk recruitment experience
  • Relevant HR qualifications
  • Works well under pressure
  • Strong organisational skills
  • Strong communication skills
  • Ability to work accurately whilst ensuring deadlines are met
  • Able to priorities work
  • Assertive and ambitious nature
  • Team player
  • MS Office with strong excel skills
