Job description

We are looking for a high performance, experienced Operations/Production Manager who shares our passion for campaigns that matter, impact work, promotions and events. The successful candidate should have strong talent in working with clients and managing a team of production executives and studio/creative teams (in-house and freelance) to ensure that all deliverables are met before deadlines.

As operations/traffic manager at Triple Eight, you will work closely with various production teams, creative teams and clients in SA and other African countries to resource and move projects seamlessly through the workflow process in a timely manner. You will have excellent interpersonal skills as you work closely with project teams to ensure projects are resourced to maximum efficiency while keeping the business, other projects and client priorities top of mind. The operational side of this position requires admin, project and production management, accuracy and strong attention to detail; you will be a well-organised individual with the ability to multitask on various levels. You will be working across more than 30 projects at any point in time and therefore it is essential that you have a good understanding of traffic for activations, PR and digital and a strong ability to multitask.

Responsibilities:
  • Coordinate and management of internal resources and third parties/vendors for the flawless execution of jobs.
  • Managing the workflow within the SA and Zambia team
  • Manage execution across Namibia, Botswana, Zimbabwe and Mozambique
  • The teams included are the SA and Zambia Account/Project Management teams, the Creative team and Admin team
  • Ensure that all processes, controls, procedures and operational systems are adhered to
  • Checking of all reports, budgets and client comms to ensure they meet our standard, review and correct to ensure they meet the requirements in terms of gross profit margin management and effective execution
  • Manage projects and campaigns from pitch to completion, ensuring that all deadlines are met and quality of outputs are of the standard expected from Triple Eight/exceed client expectations
  • Assist in the definition of job scope and objectives, involving all relevant stakeholders and ensuring technical feasibility
  • Ensure resource availability and allocation
  • Sit in on all client meetings to check for deliverables from each team
  • Schedule and traffic work into the studio, from small tasks to large workflows
  • Weekly capacity planning and risk reporting
  • Facilitate creative workflow planning with projects managers, account managers and department heads
  • Daily interaction with account/project managers and the production team
  • Plan and facilitate weekly stand up sessions
  • Creative brief trafficking, ensuring briefs are received and project kick-offs are scheduled on time
  • Manage changes to the job scope and schedule
  • Troubleshooting and problem solving
  • Timesheet trafficking and reporting
  • Leave tracking and form management
  • Recruitment of new staff and freelancers
  • Management of freelancer database
  • Vendor on-boarding of freelancers
  • Freelancer purchase order tracking and management
  • Set up of Chase system and training of relevant team members
  • Chase System administration and troubleshooting

Requirements

  • Good manager and leader of teams and ability to motivate and monitor team progress
  • Solid experience in production management – ensure that all deliverables are met with good quality and timeous execution
  • Excellent time management skills and ability to multi-task and prioritise work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organisational and planning skills
  • Proven knowledge of business and management principles (budgeting, strategic planning, resource allocation, human resources)
  • Familiarity with industry standard equipment and technical expertise
  • Be knowledgeable of safety, quality, productivity, demand creation, inventory
  • Computer literacy
  • Ability to create accountability and to lead by example
  • Strong team building, decision-making and people management skills
  • SA citizenship or SA permanent residency essential
  • Tertiary qualification
  • Minimum five years’ experience within an agency role
  • Strong experience trafficking across multiple client accounts 
  • Understanding of advertising, activations/events/digital/PR and the creative process
  • Good computer skills essential (MS Office mandatory - intermediate to advanced Excel)
  • Experience with Chase Software or equivalent
