Job description

Working on QuickBooks to process all incoming customer orders:
  • Processing customer orders that arise from telesales or any other source.
  • Processing bills and purchases.
  • Maintaining the customer database with correct billing, delivery and telephone/email contact details.
  • Adding new customers to the database.
  • Keeping the product list and prices on the system up to date.
Additional functions would include but not limited to:
  • General office administration.
  • Handling all incoming calls.
  • Receiving and responding to emails.
  • Filing.
  • Telesales and sales support for the sales teams.
Managing customer payments:
  • Sending monthly and weekly statements.
  • Monitoring customer payments and posting these to customer accounts.
  • Problem-solving with customers and dealing with payment follow-ups.
  • Working with distributors to manage COD payments.
Preparing and sending customer statements:
  • Keeping all customer accounts up to date posting payments/credit notes or other adjustments.
  • Sending monthly customer statements.
Working closely with our receiving and dispatch to ensure orders are received and delivered correctly:
  • Sourcing the PODs for all deliveries and maintaining a record of these deliveries.
  • Problem-solving with the distributors on customer orders and stock related issues.
  • Monitoring stock levels of all products in each depot and assisting with logistics to replenish stock.
  • Working with distributors for monthly stock takes and problem-solving where required.
  • Generating credit notes where necessary for non-delivery/customer returns.

Requirements

  • Must have at least five years of experience in a similar role
  • Must have valid drivers' licence and own transport
  • English speaking
  • Must have QuickBooks or similar accounting program experience
  • Willingness to learn, accept instructions, correction and supervision
  • Excellent organisational skills
  • Sound filing skills
  • Meticulous
  • Professionalism
  • MS Office Suite, including Outlook
  • Matric certificate
  • Tertiary qualification is advantageous 
  • Ability to prioritise
  • Must work well in a team
  • Vibrant and well presented
  • Must be able to multitask and change between different tasks quickly
  • Good interpersonal skills to deal with various personalities within the company
  • Excellent coordinating skills
  • Must be able to take initiative
