Job description

HR Administration
Onboarding:
  • Explain to the new employee how Momentum works and covers
  • Explain different Momentum medical aid options, pricing and contributions thereof
  • Request a tag and email address for the employee from IT prior first day
  • Enrol new employees on KRONOS
  • Order name tags
Daily:
  • Addition/ Termination on medical aid and updating of Masterfile according
  • Changes to momentum beneficiaries
  • Employment confirmations
  • Ad hoc request from other departments and FM
  • Notification to Momentum in case of a disability
  • Withdrawal Momentum, ID AND 3 month bank statement upon resignation
  • A letter resigning from medical aid
  • Preparation of Maternity contract and filling in of Department of Labour forms
  • Drafting of extension, termination or internal transfer letters
  • Payslips reprinting
  • Internal transfers- update on Pastel and KRONOS
  • Filing
Payroll duties
Registrations:
  • Add employee on Pastel to get an employee number
  • Register employee on KRONOS
  • Send medical aid and pension fund application forms to PFN
Month-end Procedures:
  • UM’s to submit worksheets by the 7th of every month
  • After batch importing print dummies to be signed by UM’S
  • Payroll Run, send the bank file and payroll summary to FM
  • Prepare Pension Report for PFN
  • Check Bonitas pro-forma statement and adjust contributions on employee masterfile
  • Run SARS REPORT for PAYE, SDL and UIF. File EMP and pay SARS BY THE 7TH of the following month (EMP 201)
  • Prepare EFT PAYMENTS for garnishees, loans and so forth
  • Send leave report to UM’S for verification
Quarterly:
  • Submit a quarterly report to STATS SA
Twice Yearly:
  • File EMP501
Yearly:
  • Calculate salary increases and submit to Finance
  • Capture new salaries
  • Adjust medical aid, pension fund contributions
  • Calculate and capture Bonuses
  • Change of medical aid options Oct/Nov
  • Assist Auditors with documents
  • Prepare a list of Bonuses


Requirements

Systems:
  • Must have working experience with Pastel Payroll and Kronos
