Job description

Urgent post required to be filled by a suitable and well-experienced candidate to assist the leasing consultants with administrative duties in order to maximise the productivity of the leasing department.

  • Required to assist with leasing admin on numerous malls nationally
  • Processing of lease enquiries and a good understanding of standard Retail Lease clauses
  • Sending application forms to potential tenants
  • Creating and maintaining of tenant files
  • Collating of potential tenant’s business plans and all related document requirements
  • Collating of tenant resolutions and standard documentation needed prior to approval
  • Drafting of standard acceptance letters, under the instruction of the leasing consultant and forward to tenants, ensuring that it is a legally valid and binding offer
  • The drafting of letters informing tenants of any changes to the offers/agreements under the instruction of the leasing consultant
  • Drafting of summary and approval forms as indicated by the leasing consultant
  • Drafting and full comprehension of Offers, Lease Approval documents, ease Agreements, Amendments, Cessions, etc.
  • Ensuring Income Schedules are updated with leasing status reports for all developments
  • Prepared to assist with any other reasonable requests/requirements from the Leasing Team
  • Scanning in of information to be forwarded to tenants and or landlords as instructed by the leasing consultant
  • Loading of all documentation on internal server/system
  • Responding to general enquiries, as well as deal with new enquiries in order to ascertain if viable before handing over to the Leasing Consultant
  • Collating a list of tenants on the company’s database and maintaining an up to date accurate tenant database
  • Perform searches on prospective clients/canvass new tenants based on information provided by the Leasing Consultant
  • Collecting all necessary Tenant Documents and ensure FICA documents are received and recorded for all clients
  • Credit checks and deed searches
  • Prepare lease agreements based on client application forms
General functions
  • Typing, answering telephones, screening calls amf taking messages
  • Taking minutes of meetings as and when required at the weekly Leasing Status Meetings
  • Filing and the upkeep of the company standard of filing and archiving, accurate filing, thus ensuring all files are in order for auditing purposes
  • Compile accurate and up to date detailed weekly and monthly leasing reports
  • Productivity – standard turnaround time of 24 hours
  • Reception duty as and when required

Skills Required
  • 3-5 years Retail Leasing Assistance experience would be an advantage
  • Retail Leasing and Development knowledge would be an advantage
  • Proficient in MS Word, Excel & Outlook (MS Excel knowledge & experience is a must)
  • Good communication skills (verbal & written)
  • Problem solving ability
  • Reliable with good work ethic – willing to work long hours if / when required to assist the team where necessary
  • Must be able to work independently, as well as perform as part of the team
  • Self-driven and motivated personality, & prepared to work hand in hand with experienced Leasing Consultants
  • The position is tremendously pressurised, so accuracy efficiency and meeting deadlines are an absolute necessity
