Growing Architectural Firm looking for a part time HR Manager:

Communication, Culture and Values

As the head of People and Culture, you are (alongside the directors and each and every staff) the lead custodian and person responsible for nurturing, improving and growing the culture within COA. You will work closely with the directors to ensure that companies core values and intended culture is consistently agreed, adapted and carefully yet openly communicated to all teams and individuals and consistently reiterated in the appropriate manner.

Recruitment

We believe that hiring should be the single most important People and Culture activity in our company. We spend more time on recruitment than any other HR related activity. We believe that is we hire the right people in the first place then it follows that less needs to be spent on talent management and development. As the Head of People and Culture, you will need to hire the best people, which includes interviewing and selecting new hires.

Compensation Management

You will need to work closely with the finance team to understand exactly how each person is remunerated, including understanding their incentive program and bonus structure in terms of their team’s projects. This will also include monitoring staff output, including following overtime to ensure correct compensation is in place and effort is rewarded as needed.

Managing Leave and Sick Leave

Benefits management

You will need to explore and implement benefits that enrich the lives of our people. This will include managing and tracking the perks and benefits each employee receives outside of their salary or wage to develop world-class benefits that enrich employee’s lives and add value.

Performance Review

You will need to work closely with the directors in order to understand and track the performance of each person in terms of the job description and KPI’s. This includes writing and updating these descriptions as needed or defining new descriptions and roles as needed.

Retention of Talent

You will be responsible and need to work with the technical teams and financial budgets to ensure key items are addressed to ensure retention of the best people.

This would include providing the right equipment and software, ensuring the workspace is world class and cutting edge, living the company values,  empowering people, nurturing self-value and individual growth, providing a balance for work-life, being a caring and responsible employer and keeping the workforce engaged.

Your role will be to act as the notice board on all studio matters including being the conduit for  information between the Directors and People.

You will also need to coordinate all studio issues to the staff during the inter office communication workshops.

Welcome Process

You will need to ensure all new people go through an orientation and welcoming program.

Organise consistent monthly functions and team building events.

Coordinate the daily lunch with the kitchen staff to ensure healthy meal options are available.

Ensure the people’s needs are heard and wherever possible addressed in terms of time off, studio needs, accommodating exercise routines etc.

Managing Diversity

With suitable precautions in mind, religious differences in the workplace should be accommodated and celebrated.

Tolerance and acceptance of religious views is vital, as well as being able to accommodate those who may need extra time off or may have special needs that are dictated by their religious preference. This includes overseeing time off to employees for religious reasons and ensuring the entire office and including management is aware of religious holidays across all cultures and religions, in advance.

This might include providing time off for religious holidays or time away from work to attend prayers, changing schedules to accommodate holy days, providing breaks and prayer rooms and dealing with dietary restrictions.

Through this process we need to ensure everyone’s files and information at current and up to date, including all documentation (copy of ID, updated CV etc.)

Items to be accessed are: knowledge, skills, abilities, strengths, education, talents.

Need regular conversations with all staff. Both formal and informal. This is a KPI.

Ensure all Personal Data + employee files are current.

CV (updated annually)

Photos

Copy of Drivers licence, ID and passport.

Copy of

SACAP

Degrees etc.

HR Contracts and template letters

You will need to structure and develop template letters to achieve consistency for the various HR templates and standard contracts.

Skills and Competencies Required

Must have a bach.degree in HR

Must have at least 5 years’ experience in Generalist HR with architecture or professional services firm experience preferred

Needs to be able to independent thinker and be able to develop high level strategies and long-term goals, while closely dealing with the day-to-day management of people.

Good written and verbal communication skills

Able to apply judgement to individual cases and make decisions or advise accordingly using persuasion and influencing skills as appropriate

You will also need to strategize and implement systems for this hiring and recruitment process, so that it can be streamlined, despite all the steps involved.

Excellent organizational skills; detail oriented, impeccable organization and effective time management skills

Ability to think beyond immediate day to day issues

Team player with the ability to establish collaborative working relationships

Self-motivated and capable of working under tight deadlines

Computer Literate

Microsoft Office Suite capabilities

Possession of a valid driver’s license, ability to use your own vehicle with proof of automobile insurance
