Experienced in:
Schedule and arrange meetings, conference calls and office activities.
Sort and distribute mails, open mail for the Director and determine level of priority.
Phone calls - Receive calls, manage and handle all routine and non-routine questions. Monitor all calls, taking necessary action personally and only notifying Director of essential matters
Handle employees/clients inquiries that come directly to the Directors office.
Maintain personal and professional calendars. Handle travel schedules, visa, flight, and accommodation arrangements as requested.
Prepare corporate correspondence, reports and meeting minutes.
Provide clerical, secretarial, and administrative support as required by Director.
Occasionally, assist Director with personal issues such as bank transfers, invoices, bookings etc...
Pastel Accounts - Basically invoicing and capturing cash book entries (journal and trial balance incorporated)
Quotations, Invoices, Contracts etc
Manage the office
Use ISP Office management system
Act as the main reference point both in the presence and absence of the Director
Organise a wide range of meetings and functions at external venues which may involve influential contacts
Respond to/resolve a wide range of queries, thereby leaving the Director free to concentrate on only the most important matters
To ensure that the Director is always in the correct place on time and with all relevant documentation/s
Total control of the Director, scheduling appointments
Reviewing and responding to correspondence via email and text
