Job description

Main purpose

To provide a support structure that enables the CCO to effectively deliver the implementation of the TCIA group strategies.

Key outcomes
  • Supporting the CCO:
Support the CCO through effective reporting duties and assisting with administration, key project paper compilations and presentations.
  • Maintain project workplans
  • Manage project deliverables such as lessons learnt, PIRs and scoping documents
  • Manage all diary commitments, meeting preparations and agenda management
  • Plan and coordinate the week’s activities, travel plans and all event management
  • Ensure CCO refreshments and meals are managed to expectations
  • Handling of office correspondence and facilitate information sharing
  • Internal and external client liaison
  • Reception and receiving of guests
  • Processing of payment requests, ordering of stationary and equipment as well as assets control, where applicable
  • Assist with budget administration
  • Coordination of bookings of venues and events
  • Coordination of arrangements related to events, workshops and meetings (catering, bookings, equipment, materials)
  • Maintain efficient filing system and records
  • Coordinate all job requests technical support and IT services
  • ability to work efficiently under pressure and without supervision
  • Maintain a high level of confidentiality

Job requirements
  • Theoretical knowledge (e.g. degree/diploma) 
  • Relevant business degree and/or diploma in commerce, management and/or office management
  • Experience (e.g. previous exposure) 
  • Three to five years of executive assistance experience
  • Reporting lines
  • Reports to: chief commercial officer
  • Direct reports: none
