Job description

We are looking for an event operations assistant. The primary focus of this role is to provide support to the operations manager both pre and post the event and onsite for the main AfrikaBurn event and special events, including Streetopia and Decompression and other events, including but not limited to the Bosberaad (annual strategic get together between Members and operations team), AGM and Gees Weekend.

Your scope of work may also include, but not limited to, Gate and Ticketing Assistant and Ranger Council Assistant.

Job responsibilities will include, but not limited to:
  •  Event Permitting and planning for all events, in accordance with the Event Legislation
  • Operations and portfolio support – administrative duties, liaising with stakeholders, accurate and consistent upkeep of all event documentation and database, scheduling meetings and taking minutes and distributing minutes for all meetings, etc.
  • Monitor and update all portfolio deliverables on the AfrikaBurn Mighty Timeline and ensure that all deliverables are met timeously
  • Distribute tickets and passes timeously
  • Liaise with all related role players for the Event Safety and Security Meetings
  • Social Media Management of portfolio pages and/or groups, where necessary
  • Assist the Operations Manager with general running of the office and yard spaces
  • Assist the Operations Manager in monitoring and managing portfolio deliverables, where necessary and onsite at events
  • Ensure that the Site Office and the JOC/VOC is set up accordingly, including Event Safety Files, and in accordance with the National Event Legislation for all events
  • Assist the Operations Manager in overseeing all Emergency Services functions and requirements
  • Procurement Management
  • Financial planning and administration
  • Support queries for portfolios, where necessary
  • Prepare for and attend briefings and trainings where necessary
  • Provide reporting and briefing structures and templates to the Operations Team


Requirements

  • One to two years’ experience in a similar role
  • Familiar and up to date with Event Legislation and procedures
  • Team player, organised, competent, confident, reliable and capable
  • Work efficiently and effectively
  • Take initiative/be pro-active
  • Take ownership of role/responsibilities
  • Ability to run with tasks to completion
  • Ability to work under pressure

  • Drivers license and own transport
Advantageous:
  • Competent in Afrikaans, as main AfrikaBurn event takes place in a predominantly Afrikaans area
  • Training or experience in Project Management/Event Management/Production or similar fields
  • Previous volunteer experience, especially through the AfrikaBurn network
  • Use of Google Drive and Google Docs
  • Use of Sketch Up or a similar program
  • Use of Active Collab or similar Project Management tool
  • Have your own computer
