Job description

Role summary:
The type of projects that the Project Coordinator will be involved in will have a high strategic importance to the organisation, with varying degrees of complexity, risk and organisational impact. Expected to successfully deliver and integrate defined outputs within scope, budget and time frames, to customer and stakeholder satisfaction and within the Project Management Framework.



Responsibilities:

Major Tasks [KPI’s]
  • Manage complex multiple projects with different clients of the organisation
  • Project Development and Implementation Unit
  • Coordination of Donation Agreements contracts and procurement processes
  • Provide a skilled facilitation service to support the Development Coordinators in achieving project expectations and objectives by employing effective organisational and administrative processes, as well as project management experience
  • Report financial and HR performance of the project team to technical advisor
  • Coordinate communications to relevant stakeholders in accordance with communications plan
  • Prepare project status communication for stakeholders
  • Highlight variances and inform the Community Development Manager and/or other relevant stakeholders
  • Participate in line project office meetings, coordinating projects committee and project review meetings
  • Calculate income to be declared and running costs against time sheet bookings by monitoring the financial dashboard system
  • Maintain a Risk register for all projects and the unit, assisting in resolving red flags and inform the Community Development Manager and/or other relevant stakeholders or escalate
  • Maintain a high level of technical and legal knowledge within all areas of Development in order to apply best practice to the work and communicate this to a range of audiences
  • Provide strategic management support to clients and Community Development Manager

Coordinate and ensuring completeness of
  • Project budget forecast and updates each quarter for submitting to the Community Development Manager;
  • Take an active part by contributing to the identification and prioritization of development projects and initiatives which would include business development register, new business pipeline
  • Obtaining project status feedback from various stakeholders and record in relevant status document
  • Inputs to documentation required by relevant programme governance committees. (Programme status report, status of invoices, dashboard, etc
Project close out
  • Administer close out of project in accordance with organisational processes;
  • Coordinate the project close out process ensuring
  • Complete project review documentation
  • Lessons learnt captured
  • Liaise with stakeholders, including project implementer's to identify and define requirements, scope and objectives
  • Ensure standards and requirements are met through conducting quality assurance tests
  • Assist in the design and delivery of training and other support activities; including the coordination of capacity building for the development coordinators
  • Ensure that the relationship between the organisation and its key stakeholders are positive and constructive
  • Manage the expenditure against the budget allocated for this section within the Donor Coordination Unit to ensure appropriate, effective and efficient use of all resources

People Management
  • Manage resource allocation to ensure effective staffing levels and utilization according to organisational needs
  • Manages subordinates' key performance areas by setting and monitoring adherence to performance targets
  • Take appropriate ER action to correct non-performance to ensure the attainment of set objectives
  • Prepares career development plans, appraises progress, and provides training and coaching to develop subordinates to their full potential

Financial
  • Recommends cost saving initiatives and controls expenditure within approved parameters

SHEQ
  • Adhere to all guidelines related to Security, SHEQ and IT operational policies and procedures

Stakeholder Engagement
  • Provide solutions according to client needs and best practice principles


Requirements

Education:

  • Appropriate Degree in Social Sciences, Project Management, Business Development, or similar is a pre-requisite
  • Experience in project management
  • Experience in working with Development Trusts and founders
  • Community, social, cultural and political awareness.

Technical Knowledge and Work Experience:
  • Good management, analytic, ethical, communication, negotiation and mentorship skills
  • Good Computer Skills, MS Word, Excel, Power Point
  • Project and Financial Management skills
  • Results driven, Leadership & Management skills
  • Organizational and Networking skills, ability to work under pressure
  • Ability to work with diverse stakeholders, inter-sectoral collaboration
  • Solid organizational skills, including multitasking and time-management
  • Strong communication skills including written and oral presentation skills
  • Proven work experience as a Project Coordinator or similar role in a Development, At least 3 years’ experience coordinating programmers involving multi sectors
  • Experience in project management, from conception to delivery
  • Experience in stakeholder relations and management
  • Familiarity with risk management and quality assurance control
  • Must have experience using Microsoft Project or similar software
  • Writing of clear concise reports; Numerical skills; Attention to detail; Financial acumen and Knowledge of programme and project management
  • Experience in working with CSOs, community organisations, as well as government
  • Detailed orientated, strong secretarial, proofreading, formatting and editing skills Have excellent communication and writing skills
  • Be multi-lingual
  • Be able to work independently and as part of a team
  • Show initiative and be deadline-driven
  • Self-motivated and able to work unsupervised
  • Effective time management
  • A driver’s licence
  • Have good organisational skills

Working Conditions
  • Occasionally required to work outside of normal hours
  • Occasionally required to travel to project sites for Quality Assurance checks
