Take full responsibility for Office Management in the JHB office Including financial/admin/system controls, budgets, invoices, quotes, orders, all office management and maintenance
Key responsibilities: Finance: • Full responsibility for all financial / admin controls and systems (including budgets, invoice/quotes, orders) • Proactively assist Head Office Accounts Department with any related issues or queries • Responsible for all insurance and claims related admin • Cheques/cashbook/money orders • Credit card recon checks and sign offs • Field bookings checks and sign offs (including accommodation spreadsheet) • Order checks and sign offs (including qual checking and packing, quant & CATI) • Petty Cash checks • Pool cars • Printing stats • Telephone Bills • Weekly Order list checks and sign offs • Maintain and update financial/admin system in a timely manner
Building Maintenance: • Full responsibility of building maintenance, alterations & security (including ongoing project management, quotes, air cons, sanitories, plumbing, electrical, doors, fumigation, generators etc) • Ordering of all office supplies, including: furniture, equipment, telephone extensions • Installations - New (i.e. Call centre/field area) • Organisation of all office functions (including drinks, promotions, resignations, awards etc) • Liaising with Landlord for all building related issues • Parking - allocations/clamping wheels etc.
Management of team: • Arini (field bookings and travel bookings) • Eunice (Reception/Switchboard/Telephone ext/ Telephone bills etc) • Evelyn (exec support and travel bookings) • Lebo (credit card purchases/office functions/gifts etc) • Neo (Office administration - orders/stock take/maintenance/stationery) • Danella (questionnaire typing/proposal formatting) • Tebogo (Printing/Post) - Eric (Deliveries and Collections) -

Requirements Minimum skills:
• Matric, with relevant tertiary education • At least 3 years prior working experience in an administrative role/position • Good working knowledge of Microsoft word and excel as well as experience in SQL database and Microsoft Projects would be an advantage • Typing competency • Numeric competency • Technically/technology competent • Great communication skills and ability to deal with people of all levels
