Job description

Key Performance Areas (KPAs)

Management of all facilities
  • Diagnose malfunctioning systems, apparatus and components using test equipment and hand tools, to locate the cause of a breakdown and correct the problem
  • Conduct daily meetings with operations to address any challenges identified
  • Make use of variety of tools and equipment to assist with preventative measures
  • Manage the facilities maintenance program and budgets
  • Implement and take ownership of the business continuity management plans
  • Monitor progress of corrective actions agreed on audit reports
  • Project management of new requirements in accordance to timelines, costs and stakeholders
  • Ensure that all locations are clean and hygienic at all times and responsible for the management of all sterile services
  • Manage all work spaces and oversee office relocation and workplace redesigns where required to meet the operational needs of the business
  • Ensure that all buildings and facilities meet all requirements in line with the National Buildings Regulations Act
  • Ensure the effective waste management for the location
Security management
  • Take responsibility for the management of our security operations
  • Ensure that all security policies are followed, through the effective use of security controls
  • Ensure that adequate security services are provided to all locations at all times, which includes but may not be limited to:
  • Adequate security is at all entry and exit points to facilities
  • Manage and institute adequate search procedures for employees, contractors and visitors to the facilities
  • Electronic security systems are adequately monitored
  • Availability of security visuals and log information if required
  • Conduct investigations and adequately reporting related to security breaches
  • Liaise with local and area official law enforcement (SAPS, City Police, Traffic Police, etc.)
Maintenance management
  • Provide effective access control to ensure adequate protection is provided to the company assets, including but not limited to the building, equipment and employees
  • Manage and control access control permissions
  • Ensure the management of all air conditioning systems whilst ensuring effective maintenance is undertaken and comfort levels are maintained across all locations
  • Take responsibility for the management and maintenance of the building management software including regular maintenance, audits to ensure functionality and comfort levels are maintained
  • Ensure adequate building signage is in place to meet all building regulations and OH&S requirements
  • Ensure all electrical and lighting requirements are met and maintained on a regular basis
  • Provide effective energy and utility management and monitor utilization, make recommendations for improvements as appropriate
  • Ensure that all water systems, tanks and pumps are in working order
  • Ensure that all generators remain in working order and drive regular generator tests as agreed with the business
  • Develop and implement adequate maintenance strategies and schedules for areas which include mechanical, HVAC, plumbing and facilitates infrastructure and drive delivery thereof
  • Ensure that adequate disaster recovery plans are in place
  • Ensure that all fire preventative measures (including fire detection systems) are in working order at all times and maintained on a regular basis
Occupational health and safety management
  • Take accountability to ensure all OH&S requirements for all locations are met and ensure that all adequate controls, policies and procedures are in place to ensure compliance with applicable law
  • Ensure that adequate fire wardens and health and safety representatives are in place and receive adequate training
  • Chair regular OH&S Committee meetings and ensure minutes are taken and distributed accordingly
  • Ensure that all OH& S incidents are recorded and managed as per legal requirements and reported as per statutory requirements
  • Ensure that all OH&S audits are undertaken on a regular basis
Financial management
  • Be responsible for the management and control of the fixed asset register, capex expenditure and budgeting, and disposal of fixed assets as required
  • Continuously identify and drive cost saving initiatives
  • Analyse and track all monthly expenses against budget
  • Oversee project production efforts to assure projects are completed satisfactorily, on time and within budget
  • Properly implement identified cost-saving strategies
  • Keep records and accounts accurately and maintain accurate records of the condition of the equipment and other systems in the building
  • Adhere to cost targets
  • Deliver agreed with KPAs within budget parameters
Risk management
  • Conduct regular risk assessments, report on findings, make recommendations and ensure mitigation initiatives are implemented accordingly
  • Implement risk avoidance measures designed to effectively manage loss on site
  • Consult with stakeholders to ensure active participation in all risk management processes and achievement thereof
  • Ensure completion of all investigations in accordance with risk management standards
  • Ensure that site management addresses all risks highlighted in audit reports and assessments
  • Ensure that adequate risk identification and mitigation processes are in place
  • Conduct distribution centre audits and manage the quality audits within the environment e.g. insurance, risk, OHS and internal process compliance
  • Prepare and present at the bi-monthly Social and Ethics Committee on the following:
  • OH&S incidents and report back on meetings
  • Overview of any risks identified and proposed mitigating actions
  • Ensure adequate risk identification and mitigation processes are in place
  • Ensure that the company code of conduct, policies and procedures are adhered to
  • Implement adequate and effective systems to ensure compliance with relevant laws, regulations as well as policies and SOPs
  • Provide adequate and timely reporting on building services related activities on a monthly basis
  • Ensure timeous completion and submission of OHS, Facilities and Risk Management reports
  • Prepare accurate and timely reports as requested by management ensuring all statistics are accurate throughout
  • Analyse reports and identify risk areas to be addressed
  • Through effective reporting advise management on whether continued operation of systems, staff and equipment could be hazardous
  • Generate and issue ad hoc reports through data mining analysis to provide management with key statistics and trends identified and provide recommendations to act accordingly
Project management
  • Prepare specifications for purchase of materials and equipment
  • Inspect completed installations and observe operations, to ensure conformance to design and equipment specifications and compliance with operational and safety standards
  • Confer with engineers, stakeholders, and others to discuss existing or potential engineering projects and products to improve the facilities and work requirements
  • Compile data and write reports regarding existing and potential process improvement studies and projects
Vendor management
  • Continuously build and maintain strong relationships with all vendors/service providers whilst ensuring that clear communication takes place
  • Frequently liaise and negotiate with service providers to ensure and manage the best practice, operational reviews on service offering and agreed with service level agreements
People management
  • Daily management and accountability of your team
  • Ensure all team members have KPAs and personal development plans in place with clear and tangible goals
  • Lead, guide, develop and support your team by identifying coaching and training needs to achieve performance standards
  • Provide effective leadership and training to team members in order to optimise productivity
  • Reduce attrition levels and promote staff engagement by ensuring adequate measures are in place
  • Ensure adequate and appropriate workforce management to deliver against department objectives
  • Ensure all incentives are implemented well to promote high levels of motivation and teamwork


Qualifications and Accreditations
  • Grade 12 / Matric or Equivalent
  • A formal relevant tertiary qualification will be an advantage
  • ISO certification such as ISO 9000 (Quality), ISO 14000 (Green) and/or ISO 18001 (OHASA) required
  • ISO certified auditor will be advantageous
Experience and Skills
  • A minimum of five years' work experience as a Building Services / Facility Manager within the warehousing/distribution industry
  • ISO 9000, 14000 and 18001 implementation / experience
  • Excellent Occupational Health and Safety knowledge
  • Proven project management experience
  • Experience with Building Management Software
  • Knowledge of the following Acts:
  • Tobacco Products Control Act
  • Occupational Health and Safety Act
  • Sectorial determination: Contract Cleaning
  • Sectorial Determination: Private Security Sector
  • Electrical Regulation’s Act
  • Machinery and Occupational Safety Act
  • Foodstuffs, Cosmetics and Disinfectants Act
  • National Energy Act
  • National Buildings Regulations and Building Standards Act
  • Knowledge of raw materials, production processes, quality control, costs, and other techniques for maximizing the effective warehousing and distribution of goods
  • A clear understanding of OHS and security principles
  • Implementation, maintenance and continuous improvement of the OHASA Standards
  • Measuring all aspects of Health and Safety
