Time Keeping

We are a small design agency... and we continually butt heads over the best way to do timesheets! Anyone have any good ideas for us please?
We all agree that we need a decent system... but that is where the agreement stops! So we have all sorts of software and paper lying around and basically it always falls short of efficiency!

So we were wondering if others could share advice on what works (we have figured out what doesn't work!)

Also, has anyone tried any of the online project management systems? Are they worth buying into?

Thanks in advance.

ps. we operate macs so if it is a software based system, it would need to be mac compatible.

    Where not to go...-
I also work at a fairly small agency, that was hoodwinked by what must have been a very good salesperson, into buying Maconomy. it's expensive, slow, complex, and the support in SA is unhelpful and slow. So - anything but Maconomy! Posted on 7 Dec 2009 16:14

    Fanurio is a dream-
We're copy writers, design & corporate publishing house in PE - OPEN HOUSE COMMUNICATIONS. We ran a no-obligation test period of about a month on Fanurio before buying. Great back-up on-line backup service too. Posted on 8 Dec 2009 09:07
Time sheets are the most creative thing produced in an agency-
We use Chase, and it works, but the whole Time sheet fiasco should just get dropped once and for all. If an agency actually used them as an accurate way of billing or if agencies rather work on a fee basis, we could stop this stupid, archaic way of irritating agency personnel. The simplest way to do this is get clients onto a fee system and cut out the stupid time sheet once and for all. Posted on 14 Dec 2009 10:35

hey, time sheets are tough at the best of times..-
The other problem is also real-time spent vs billing time. Some jobs can take hours more than what might be appropriate to bill, and some less. If you do not have an electronic system, then I think getting to know your jobbags, and their historical time-spent implications, can help guide you in what you should be billing. Not everyone can afford a professional package, so if you are not prepared to write (the old fashioned way) on the jobbag the hours spent, then when first costing and quoting you may have to stretch and commit to a price, based on historical track record of similar work done. What you leave on the swings, you will probably get back on the merry-go-round anyway.

But lets face it, most creatives loathe trying to recollect how long they spent on a bag. Studio discipline is important, and the role of a studio manager or traffic manager here even more so. Monitoring the time spent is obviously vital - no-one wants to leave money lying on the table, nor do you want to overcharge the client either. Posted on 9 Mar 2010 14:28
