There are many aspects that can make or break a good event and one of the most important is having the right venue for the right event. There are hundreds of venues out there all touting for the same business in the event market; and like most things in life some are excellent and some are not. Excellent venues are also not suited to every event type and specific events demand specific venues which is an important step in ensuring a successful event.
So, how does a busy event manager make sure the venue is chosen? Well, there are some rules to follow...
The Currin't Events Rule No 1 is visit the venue. It is possible to see a venue from pictures and a website, but it is not possible to choose a venue this way. We believe it is absolutely critical to see first-hand what the venue offers and to check out any points that may be relevant to your event. If the event is in another city, or another country, then the cost of the visit needs to be added to the budget up-front. Websites may also be misleading so you cannot judge accurately based soley on what the website portrays.
Now that you're visiting the venue, what then?
Currin't Events have developed a check-list over its 12 years in operation that has proved invaluable in assisting our clients to choose the right venue. So before you leave for your site visit, plan the questions you need answered; make a detailed list of all aspects of the event and questions related to it, to make sure you have all the questions needed. As obvious as this sounds, it is not always done and an event planner can come away from a site visit without having asked all the right questions.
Having covered the obvious, what are some of the hidden points in a venue a good event manager should look out for?
Proximity of kitchen to room. Many large venues have dedicated kitchens for their major rooms for dinners which is a good thing, but make sure there is not going to be noise coming from the kitchen to disturb guests and speakers in the case of a meeting.
Internet (Wi-fi) access. In today's technology driven world, this has become a must-have, if not for presentations, then for delegates who need to get access to their services and not everyone (especially international guests) will know to bring 3G set up.
Disabled access. Although most venues have now complied with this ruling, some older venues have not updated their access for disabled delegates.Choosing the right venue could be the most important aspect of your event, and a fail-proof method is to appoint a first class events company - such as Currin't Events.
